1. What You Send Us

The eligibility form on this website asks for six things, and only the first three are required:

• Your name
• Your phone number
• Your email address
• Your property address
• The number of units in the building
• An optional message describing what you are looking for

This website sells nothing and never asks for payment details. If you call or email instead, we keep what you tell us for the same purposes.

2. What Happens When You Submit the Form

When you press the button, four things happen:

• Two emails go out. Your answers go to Planet Optima’s lead inbox and to Atrix Digital, the marketing agency that builds and manages this website. Both use them only to answer you and to run the rebate program.
• A record is stored. The same answers go into a lead log on the web server and into a Google Sheet that Planet Optima and Atrix Digital use to follow up.
• We record two technical details. Your IP address and the page you submitted from are saved with the record, so we can block abusive submissions and see which page brought you here.
• You get an acknowledgement. We send a confirmation email to the address you gave so you know the request arrived. A third-party email service delivers it.

3. How We Use It

We use what you send for these purposes and no others:

• To confirm whether your building qualifies for a utility rebate program
• To reply to you by phone or email and answer your questions
• To file rebate paperwork with the utility if you decide to move forward
• To keep business records and to protect the form against spam and abuse

4. Cookies and Website Measurement

This website uses Google Tag Manager and Google Analytics to measure traffic. They set cookies in your browser and record which pages you visited, how you arrived, and roughly where you are. We use that to see which pages are useful, not to identify you.

You can block or delete cookies in your browser settings. The website still works without them.

We may add Cloudflare Turnstile to the forms to check that a submission comes from a person rather than a bot. It reads signals from your browser and does not ask you to solve a puzzle.

5. Who Else Sees It

We do not sell your personal information and we do not share it for cross-context behavioral advertising. These parties handle it so we can operate:

• Atrix Digital, the marketing agency that builds and manages this website.
• Our website host, which stores the lead log.
• Google, which hosts the follow-up sheet and provides the analytics and tag tools.
• Our email delivery service, which sends the notification and acknowledgement emails.
• Cloudflare, which sits in front of the website and filters abusive traffic.
• The utility running the rebate program, but only if you ask us to file an application, and only the details it requires.

We also disclose information when the law requires it, and we would transfer it as part of a sale of the business.

6. How Long We Keep It

We keep a request for as long as we need it to answer you and to hold an accurate record of the work we quoted and completed. You can ask us to delete your information at any time and we will, unless a law requires us to keep a record.

7. Security

We use reasonable safeguards to protect what you send, including access controls on the lead log and the follow-up sheet. No website or email system is perfectly secure, so we cannot promise absolute security.

8. California Residents

If you live in California, the CCPA as amended by the CPRA gives you these rights:

• The right to know. You can ask what personal information we collected about you, where it came from, why we collected it, and who we disclosed it to.
• The right to delete. You can ask us to delete the personal information we hold about you.
• The right to correct. You can ask us to fix personal information about you that is inaccurate.
• The right to opt out. You can tell a business to stop selling or sharing your personal information.
• The right to non-discrimination. We will not treat you differently or give you a worse service because you used any of these rights.

Planet Optima does not sell or share personal information, so no "Do Not Sell or Share My Personal Information" link is required on this website.

9. Children

This website is for property owners and managers and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child sent us information, email privacy@planetoptima.com and we will delete it.

10. Changes to This Policy

We update this policy when the way we handle information changes. The date at the top of the page shows when it last changed.
